About the Demonstration

This video introduces the integrated General Ledger module in ECI Spruce and shows how it supports day-to-day accounting and financial management.

The demonstration begins with Spruce’s flexible account structure. Businesses can organize accounts for high-level financial summaries while still extending them to posting-level detail when more granular information is required. New account entries can be added by selecting an existing account and creating a new account number.

The video then shows how users can review journal entries and drill down into the details behind GL activity. Spruce provides access to debit and credit information as well as related invoices, payments, check runs, receipts, and other documents. For example, users can review sales tax payable activity, view the transactions contributing to an account balance, and open a related customer invoice directly from the GL details.

Spruce also supports recurring journal entries and imported entries. These tools can help reduce manual work and the risk of errors, particularly for recurring processes such as payroll. The Import Wizard is used to load a payroll spreadsheet into a journal entry, and a supporting payroll report is attached to the entry for future reference. Access to attached documents can be managed for specific user groups.

The next section focuses on fixed assets. Spruce can track and depreciate assets such as trucks, machinery, buildings, and other equipment without requiring separate spreadsheets or specialized software. Users enter information such as the purchase amount, purchase date, depreciation method, number of depreciation periods, and service life. Spruce then creates a depreciation schedule and applies the depreciation over time. Related documents, including insurance, registration, inspections, maintenance records, and tax information, can also be attached to the asset.

The demonstration concludes with Spruce’s financial reporting capabilities. Users can configure income statements by selecting data, filters, subtotals, and report formats, then generate detailed reports in PDF format. Reports can be displayed in full detail or summarized using options such as Group Summary.

The video also demonstrates the G/L Detailed Trial Balance report, which can be run for a selected time period and expense category. Users can drill down from an expense balance into the supporting transaction and open related documents, such as a vendor invoice for vehicle tires.

Finally, Spruce enables users to create custom general ledger report templates for specific business needs. The example shown uses a custom template for intercompany transfers. Reports can also be scheduled to run automatically, helping businesses stay informed about their financial activity.
